You need to check the VAT position before changing the ticket selling arrangements next year Vic. One of the reasons why someone other than the BHDTA organised and ran the End Of Season Party was that if the BHDTA ran it and collected the ticket money, VAT would be suffered on the ticket sales. Admittedly VAT could then be reclaimed on the food & drink bill but it would still be a net cost |

For a number of years now, Julie Camm has been organising the End of Season Party. She looks after everything from dealing with the venue, the entertainment and the table layouts etc. She also deals with the financial side of things and uses the Combined Pony Fund bank account to receive the ticket money and pay the expenses. This has been working well and I'm sure everyone agrees that Julie is doing a tremendous job. To be able to accept on-line payments, they would have to go into the BHDTA credit card merchants account (same as the membership subscriptions) in the first instance. They would then be transfered from there to the Combined Pony account to enable Julie to pay the hotel etc. There would also be an additional charge, which is applied to all on-line transactions, which would result in the cost of the tickets having to be increased a little. In the past everyone was quite happy to send their payment by cheque to Julie. However, we are now finding that more and more people prefer to pay on-line. If it appears that sufficient numbers of people would like to pay this way, and that there is a possibility it may attract more people to the event, it will be worth putting in the extra effort in setting up the payments and transferring them to the correct account and we will be able to look at setting this up for next year's End of Season Party. |

Just a thought (I might have missed something) Could we not book and pay for the party and/or lunch on line? |
